Voltic Systems ("we", "us", "our") respects your privacy. This Policy explains what information we collect when you visit volticsystems.com or contact us about our services, how we use it, and your rights.

1. Who we are

Voltic Systems is a specialist agency that builds 24/7 missed-call recovery systems and conversion-focused websites for residential HVAC contractors. We are a small business; if you have privacy questions, you can reach us at hello@volticsystems.com.

2. What information we collect

We collect the following limited categories of information:

• Information you give us directly via our demo form — your name, company name, location, website, phone number, rough monthly call volume, and which product you're interested in. This is what you type into the form on the homepage.
• Email correspondence — anything you send us by email.
• Basic technical metadata sent automatically by your browser when you visit the site (IP address, browser/OS, the page that referred you, the pages you viewed). This is standard for any web server.

3. How we use your information

We use the information you provide solely to:

• Reply to your demo request or other inquiry.
• Schedule and run a discovery call.
• If you become a customer, deliver the services you've engaged us for.
• Send you occasional updates about Voltic Systems if you've explicitly opted in.

We do not sell your information. We do not share it with advertisers. We do not use it for retargeting on other websites.

4. Our form vendor

Our demo form is processed by Web3Forms (web3forms.com), which forwards your submission to our email inbox. Web3Forms acts as a "data processor" for us — they handle the form data only to deliver it to us. Their own privacy policy applies to that brief transit.

5. Cookies and tracking

Voltic Systems' marketing site uses no third-party tracking cookies at this time. We do not run advertising pixels (Meta, Google Ads, LinkedIn, TikTok, etc.) on this site. The only external resource we load is the Inter, Space Grotesk, and JetBrains Mono fonts from Google Fonts, which may set short-lived cookies on Google's domain — not ours.

If we ever add analytics (e.g. Plausible, Fathom, Google Analytics), we will update this Policy and, where required by law, present a consent banner.

6. Customer data (if you become a client)

When you engage us for Voltic Voice, the AI receptionist runs inside your own Vapi and Twilio accounts. Call recordings, customer phone numbers, transcripts, and CRM data stay in your systems — not ours. We access them only to configure and tune the agent, and only with your explicit permission, scoped to the accounts you grant.

When you engage us for Voltic Web, the website lives on your own hosting (Netlify, Cloudflare Pages, etc.). Any data collected through the site (form submissions, etc.) is governed by the privacy policy on your site, not ours.

This structure exists deliberately. It minimizes the data we hold about your customers and reduces compliance risk for both parties.

7. Data security

We protect the limited data we do hold using reasonable measures: encrypted transit (HTTPS), reputable email and storage providers, and access controls scoped to people who need it. No system is perfectly secure, but we treat your information the way we'd want ours treated.

8. How long we keep it

Demo-form submissions and email correspondence are retained while we evaluate fit and, if you become a customer, for the duration of our relationship plus a reasonable period for legitimate business purposes (typically 24 months). You can ask us to delete sooner — see Section 9.

9. Your rights

Depending on where you live, you may have the right to access, correct, delete, or export the personal information we hold about you, and to object to certain processing. To exercise any of these rights, email us at hello@volticsystems.com and we'll respond within a reasonable time (typically 30 days).

California residents have specific rights under the CCPA/CPRA; EU/UK residents have rights under the GDPR. We honor those rights regardless of where else you live.

10. Children

Voltic Systems sells to home-services contractors. Our site and services are not directed to children under 16, and we do not knowingly collect information from them.

11. Changes to this Policy

We may update this Policy as our business or applicable law changes. The "Last updated" date at the top reflects the most recent revision. Material changes will be announced on this page; if you've engaged us as a customer, we'll also notify you by email.
